Functions General Information
Here at Weis Restaurant we understand that events such as birthday celebrations and wedding receptions are very important so to ensure that your special function runs as smoothly as possible we ask that you pay particular attention to the following details.
Finalising Your Function
After your initial consultation, please follow up with our Function Co-ordinator at least 4 weeks prior to your wedding / birthday and make an appointment to finalise all arrangements including your floor plan. You should allow approximately one hour for this appointment.
Entertainment
In the case of a wedding in our beautiful gardens, the wedding couple are welcome to arrange their own entertainment however; we do ask that you discuss your plans with our Function Co-ordinator prior to making such arrangements. This will ensure that we can assist with any special requirements you may have on your special day.
Bar Facilities
When planning your function, please keep in mind that our trading and liquor licences permit alcohol to be sold through until 12 midnight only and further, that all persons must vacate Weis Restaurant (that includes outside grassed areas and car parks) by 12:30am.
If your function is a breakfast one, kindly note that your guests must vacate the allocated rooms by 10:30am.
For lunch functions, all guests must vacate the allocated rooms by 4:00pm. As Weis Restaurant offers lunch and dinner 6 days and breakfast, lunch and dinner on a Sunday, the above times unfortunately are not negotiable.
Speeches
It is our recommendation that speeches be held after your guests have enjoyed dessert, this enables your guests to sit back and enjoy the rest of the festivities.
Complimentary Function Equipment
We are happy to offer you the use of the following items free of charge with any function which includes a meal. White board, projector, screen, internet connection, speakers, laser pointer and lectern.
Please ensure that you advise our Function Co-ordinator if any of the above items are required when you finalise your booking.
Please Note: The above information is correct at the time of printing, to avoid disappointment when planning your function please check that all of your requirements are able to be met with our Function Co-ordinator.
Room Access
Where possible, we do allow access to your designated dining area for decorating purposes prior to your function however, such access can not be guaranteed and is totally dependant upon other bookings at Weis Restaurant.
Please speak with the Function Co-ordinator with regards to the access time. Weis Restaurant is happy to accept delivery of flowers and /or Wedding, Birthday Cake prior to your function commencement however, please understand that Weis Restaurant nor any of its employees will be held responsible for any flowers or cake that may get spoiled due to unsavoury weather conditions.
Place Cards
Once your table / seating plan has been finalized, please group your place cards for each table together and place each table in a separate envelope.
It is essential that you indicate on each envelope the table number and the number of people seated at that table and the order in which you wish guests to be seated.
Our staff can place the cards on the table/s for you however; if you or a member of your party wishes to place the cards personally you are more than welcome to de so.
Guest List by Table
A list of guests by table number and in order of place card setting is required no later than the day prior to your function to ensure that placements are as per your requirements.
Wedding / Birthday Cake
Cake bags are to be supplied by the client if required. The bottom tier of the wedding cake unless otherwise advised will be sliced and served to guests at the table/s.
Coffee and Tea Station
A coffee and tea station can be arranged for you and your guests. This will be at an additional cost of $3.00 per head. Please let the Function Co-ordinator know whether any coffee or tea will be required.
Your Account
Payment for food and any sundry expenses is required prior to your function. Payment is required seven (7) days prior to the event. Payment for your beverage component is required at the conclusion of your function and payment for this will be accepted by CASH, CHEQUE (with prior- approval by the General Manager) and EFTPOS. Payment via credit card, on the day of your function will be accepted without merchant fees.
Pre-Function Requirements
No later than seven (7) days prior to your function, we require the following details to be finalised;
- Final guests numbers
- Full payment of all food and sundry expenses
No later than one (1) day prior to your function, we require the following details to be finalised;
- Seating / table plan
- Guest list by table number
- Guests and bridal party place cards
- Any other items to be placed on the table (this may include such things as bonbonniere).
Additional Charges
There will be an additional charge incurred for any deliberate damage or cleaning deemed excessive by the management. Glitter and confetti are not permitted within Weis Restaurant or its surrounds.
Terms and Conditions
Tentative Bookings: A tentative booking will be held for a period of seven (7) days only.
Confirmation and Deposit
A deposit of $1000 is required within fourteen (14) days of confirmation to secure the booking.
Cheques, with prior approval from the General Manager are to be made payable to Weis Restaurant. This amount will be credited to a master account in your name; on receipt of your deposit your function will be confirmed.
Weis Restaurant accepts cheques and cash payment for deposit. Credit card payments incur merchant fees.
Cancellation of Function
Where notification is provided in writing six (6) weeks prior to the date of the function, a full refund of the booking deposit will be made.
Cancellations or postponements made less than this time will forfeit all rights to any refund.
A Guaranteed Final Number
A guaranteed final number of guests attending the function is required seven (7) days prior to the commencement of the function. This is the minimum number of guests for which you will be charged, whether or not they attend the function.
Should guest numbers fall by more than 10% of the original number, please be advised an additional fee may apply.
Loss or Damage
Loss or damage of property, carpet, fixtures or fittings caused by the client, guests, agent or contractors, before, during or after the function, will be the financial responsibility of the organiser and an appropriate charge will apply.
Insurance
Management will take all responsible care to protect the property of its guests but accepts no responsibility for the loss or damage to merchandise or other property in the premises, prior to, during and after the function.
We recommend that organisers arrange their own insurance.
Room Changes
Management reserves the right to change a function room where it deems necessary however, every effort will be made to offer an alternative function room comparable to the area originally selected.
Should this be the case, the organiser will be notified as soon as possible.
Alcohol
Unless otherwise agreed upon by management, neither alcohol nor food may be brought into the restaurant.
Where your guests do not abide by this condition, Weis Restaurant reserves the right to confiscate such alcohol or food and levy a charge to the organiser should it be deemed necessary.
Weis Restaurant supports patron care.
It is illegal to serve alcohol to 1) intoxicated patrons, 2) disorderly patrons or 3) patrons under the age of 18.
Labour Charges
Should the guests continue to stay in the restaurant after 12.30am, a labour charge of $300 per hour or part thereof will apply. Weis Restaurant closes at midnight.
Conduct of Guests
Management reserves the right to remove any guests from the premises should it be deemed that they are behaving in an unreasonable / unbecoming manner.
Menu and Price Variation
Whilst every possible effort is taken to maintain our smorgasbord price, prices are subject to change at Management’s discretion up to one (1) month prior to your function.
A 15% surcharge will apply to food and beverages on any function conducted on a gazetted public holiday. All prices quoted herein are inclusive of GST.
Cleaning
Whilst normal cleaning is included in the confirmation of the booking, should any additional cleaning be required an appropriate fee will be charged.
Accounts
Our policy requires full payment of all food and sundry charges prior to your function. Payment is required seven (7) days prior to the function. Credit card payments for the above portions are accepted.
We accept all major credit cards; American Express, Diners Club, Visa, Bankcard and Mastercard.
Payment for your beverages component is required at the conclusion of your function. Payment will be accepted by cash, cheque (with prior approval by the General Manager) or eftpos, and for your convenience on the day payment via credit card will be accepted with no merchant fees being charged.
Should, for any reason, the total amount of the account not be paid within seven (7) days a 2% compounding daily interest credit charge will apply to the outstanding balance.
